Privacy policy

Who we are
Iraady Ltd ("we") provides TradeFlow, a website and phone app for tradespeople to manage customers, quotes, invoices and jobs. For the business information you put into TradeFlow, you are in control of it and we process it for you. For your own sign-in details we decide how they are used. Contact: hello@iraady.com.
What we collect
- Your account: name, email address, password (stored only as a one-way hash), country, business name and the settings you choose.
- Your business records: customers (name, phone, email, address, notes), quotes, invoices, payments you record, jobs, parts used, work notes, site photos you take or upload, and customer signatures captured on a job card.
- Customer actions on links: when your customer approves or declines a quote we store the name they type, the time and any reason they give.
- Technical data: IP address and browser or device type for sign-in security, and basic error logs.
We do not use advertising trackers and we do not sell your data. The phone app does not track you across other apps or websites.
Why we use it
- To run TradeFlow for you: create documents, sync your phone and the web, generate PDFs.
- To keep accounts secure and prevent abuse.
- To email you things you asked for, such as a password reset, or to email a quote or invoice to your customer when you press send.
- To draft quotes with AI when you ask for it (see below).
AI quote drafting
When you press "Draft my quote", the text you dictated or typed, the customer's name and town, your hourly rate and any photos you attached are sent to a language model run through Amazon Web Services (Bedrock) to produce a draft. The draft is only a suggestion for you to review. Please do not put sensitive personal details in the description. We do not use your content to train models, and Amazon states that content sent to Bedrock is not used to train its models.
Phone dictation
Dictation uses the speech-to-text feature of your phone keyboard (Apple or Google). That is handled by your phone's operating system under its own privacy policy. TradeFlow only receives the text.
Where it is stored and who else handles it
- Hosting and database: servers we operate on Amazon Web Services in the United States (us-east-1).
- Network protection and DNS: Cloudflare.
- Email delivery: Amazon SES.
- AI drafting: Amazon Bedrock, only when you use it.
If you are in the UK, Ireland, the EU, South Africa or Australia, your data is therefore transferred to the United States. We rely on the contractual safeguards of these providers.
How long we keep it
We keep your records while your account is open. When you delete your account, the business and all its customers, quotes, invoices, jobs, photos and logins are erased from our live database straight away. If the law requires you to keep invoices for a number of years, download them before you delete.
Your rights and deleting your data
You can edit your records at any time. You can delete your account inside the app (Settings, Delete account) or on the web. If you cannot sign in, follow the steps on our account deletion page. Depending on where you live you may also have the right to ask for a copy of your data, to correct it, or to complain to your data protection authority (in the UK, the Information Commissioner's Office). Write to hello@iraady.com and we will answer within 30 days.
If you are a tradesperson's customer and want your details removed, ask the business first, as they hold your record. You can also write to us and we will pass the request on.
Security
Connections use HTTPS. Passwords are hashed. Access to business data is limited to your own login and the technicians you add, and technicians see only the jobs assigned to them. No online service is perfectly secure, so please use a strong password and tell us at once if you suspect a problem.
Children
TradeFlow is for businesses and is not meant for anyone under 16.
Changes
If we change this policy in a way that matters, we will tell you in the app or by email before it applies.
